Managing Check-In
Check-in is often the first real interaction supporters have with your event experience.
Keeping this process simple, clear and organised helps set a positive tone from the moment attendees arrive.
When managing check-in:
- Assign specific team members to entry points
- Ensure devices are charged and ready
- Keep the entry flow moving steadily
- Be prepared for peak arrival times
If queues form, focus on clarity over speed. People are generally more patient when they understand what is happening.
The aim is not to rush attendees through, but to create a smooth and confident entry experience.
Using QR Code Entry
Each ticket includes a unique QR code used for entry.
To check in attendees:
- Scan the QR code on their valid event ticket
- Wait for confirmation that the valid ticket is used
- Allow entry once successfully verified
Once a QR code has been scanned, it cannot be used again.
This helps ensure accurate attendance tracking and prevents duplicate entry.
If scanning is unsuccessful, move to backup verification methods rather than delaying the queue.
If your event includes add-ons, remember that add-on QR codes are separate from entry tickets and should not be used to admit attendees into the event.
Add-ons must be scanned or verified through their own redemption process.
Using Ticket IDs as a Backup
If a QR code cannot be scanned, every ticket also includes a unique ticket ID.
You can use this as a backup method by:
- Asking the attendee to show their ticket ID
- Manually verifying it in your system (if available)
- Allowing entry once confirmed
This ensures that technical issues do not prevent legitimate attendees from entering your event.
Ticket IDs are especially useful in situations where:
- Internet connection is unstable
- Screens are difficult to scan
- Devices are temporarily unresponsive
Managing Arrival Flow
How people enter your event can shape their first impression.
A steady, organised entry flow helps reduce stress for both your team and your attendees.
To manage flow effectively:
- Open doors early enough to avoid bottlenecks
- Use clear signage to guide attendees
- Separate queues where possible (e.g. general vs VIP)
- Position staff so they can answer questions quickly
Occasionally, you may encounter issues such as:
- Lost or missing tickets
- Duplicate entries
- Network or device issues
- Incorrect ticket types
In most cases, these can be resolved quickly through the organiser dashboard or by verifying supporter details.
Keeping a calm and structured entry process helps avoid delays and confusion at the door. A calm entry sets the tone for everything that follows.
