Communicating Important Updates

Clear communication is one of the easiest ways to build trust with your supporters.

Even when plans change, attendees are often understanding when they receive timely, honest and practical updates. The opposite is also true — uncertainty and lack of information can quickly lead to frustration.

As your event approaches, consider whether there is anything supporters would reasonably want or need to know.

Examples might include:

  • Venue confirmations or updates
  • Changes to event schedules
  • Entry procedures and arrival instructions
  • Parking or transport information
  • What attendees should bring
  • Accessibility arrangements
  • Weather-related considerations for outdoor events

Whenever possible, communicate updates early.

When writing updates:

  • Be clear and concise.
  • Focus on the information supporters need most.
  • Explain what has changed and what remains the same.
  • Include any actions supporters may need to take.
  • Let supporters know where to go if they have questions.

Remember that supporters are planning around your event. Helpful communication allows them to prepare with confidence and contributes to a better overall experience.
