Preparing Your Team and Operations
As event day gets closer, it’s helpful to shift your focus from planning to readiness.
The best-run events aren’t necessarily the biggest or most elaborate. They’re often the ones where organisers have thought through the attendee experience in advance.
Consider reviewing the following areas before your event:
Venue readiness
- Is the venue confirmed and accessible?
- Have you shared setup requirements with the venue team?
- Are you clear on arrival and pack-down timings?
Staffing and volunteers
- Does everyone understand their responsibilities?
- Do team members know who to approach if issues arise?
- Have you accounted for breaks and shift changes if needed?
Check-in arrangements
- Who will manage attendee entry?
- Have team members been briefed on QR code scanning procedures?
- Is there a plan for manual check-in if needed?
Equipment and supplies
- Have you tested any equipment you’ll rely on?
- Are chargers, extension cables or backup supplies available?
- Have merchandise, add-ons or event materials been prepared?
Supporter experience
- What will attendees experience when they arrive?
- Are queues likely, and how will they be managed?
- Are important signs or directions in place?
Contingency planning
- What happens if a supplier is delayed?
- What happens if attendance exceeds expectations?
- Who makes decisions if unexpected issues arise?
You don’t need a complicated operations plan to run a successful event.
What matters most is thinking through the attendee journey and preparing your team to respond calmly and confidently when the unexpected happens.
A little preparation often prevents unnecessary stress later.
